Services Setup
Build your service catalog: categories, services and their pricing strategies, modifiers, price lookups and client segments, all under Services.
Services in the sidebar holds everything you sell and how it is priced. The page has six tabs: Services, Categories, Modifiers, Price Lookups, Client Segments and Price History.
How the pieces fit
- Categories group your services. A category can have subcategories.
- Services are what clients order. Each service has one pricing strategy.
- Modifiers add fees or discounts on top of service prices.
- Price lookups hold the price rows a Price Table Lookup service reads.
- Client segments give groups of clients their own discounts.
Step 1: Create categories
- Open the Categories tab and click Add Category.
- Fill in Code (filled in from the name), Name, Description, Parent Category, Icon and Sort Order (lower numbers appear first).
- Leave Active ticked to show the category, then click Create Category.
Parent Category lists your top-level categories only, so a new subcategory always sits one level under a top-level category. A category that still has subcategories cannot be deleted.
Step 2: Add services
- Open the Services tab and click Add Service.
- Under Basic Info, fill in Service Name, Service Code, Category and Description.
- Under Service Settings, choose what applies:
- Taxable: tax applies to this service
- Allow Quantity: an order can hold more than one
- Add-on Service: can only be added to other services
- Requires Quote: the price is quoted, so the service has no pricing strategy
- Public: visible to clients
- Active: available for orders
- Separate Order Only: cannot be combined with other services
- Set Duration (minutes) for scheduling.
- Choose a Pricing Strategy (Step 3) and click Create Service.
Step 3: Choose a pricing strategy
Each service has one pricing strategy, set in the service's own form:
- Flat Rate: one fixed price. This is the only strategy with a Base Price field.
- Formula Based: a Calculation Formula using the variables
square_footage,home_priceandquantity, and the functions MAX, MIN, ROUND, CEIL, FLOOR, ABS and IF. - Matrix Pricing: a grid of prices across two dimensions you name, such as home price and square footage. An empty cell, or a value outside every range, means the service cannot be booked for that order.
- Markup: a Base Cost (Cost Basis) plus a markup percentage, a fixed markup, or both.
- Price Table Lookup: reads its price from the rows on the Price Lookups tab that share its Lookup Key. A Fallback Amount is required and is used when no row matches.
Tiered pricing is being phased out: new services cannot use it. An existing tiered service can still be edited.
Conditions on a service
The service form also has:
- Client Segment Targeting: the segments the pricing is for. Leave all unticked to apply it to every client.
- Conditions: rules on the order's square footage or home price, the property details an order carries. All conditions must match.
- Geographic Zones: matched against the start of the order's ZIP code.
- Days of Week: checked against the order's shoot date.
- Valid From and Valid To: outside these dates the service cannot be ordered at all.
- Priority: higher numbers list first.
When a segment, condition, zone or day does not match an order, the service is charged its stored base price, and it cannot be ordered only when it has none.
Step 4: Set up modifiers
Modifiers adjust the price of an order. Open the Modifiers tab and click Add Modifier.
Modifier Type:
- Fixed Fee: adds a fixed amount
- Discount: reduces the price by a fixed amount
- Percentage: adds or subtracts a percentage of the price
- Multiplier: multiplies the price by a factor
- Formula: a custom calculation. For specific services or a category it can use
unit_price,quantityandsubtotal; for a bundle discount,subtotalandservice_count.
Applies To:
- Specific Services: the services you select
- Service Category: every service in the categories you select
- Bundle Discount: when specific services are ordered together
Under Settings, choose Stackable (combines with other modifiers), Automatic (applies on its own; when off, add it by hand on an order), Taxable and Active. Apply Order sets the order modifiers apply in: lower numbers first. When Does This Apply? limits a modifier to dates and days of the week.
Step 5: Add price lookups
The Price Lookups tab holds the rows a Price Table Lookup service reads. Click Add Lookup, enter the service's Lookup Key, a dimension (ZIP code or square footage range) and its value, an optional second dimension, and the Amount.
Step 6: Create client segments (optional)
Client segments give a group of clients their own discount. Open the Client Segments tab and click Add Segment. Fill in Segment Name, Segment Code, Description, Default Discount %, Fixed Discount Amount (off each order), Priority Level, Segment Color and Active. Use View Members on a segment to see and add its clients.
Step 7: Review price history
The Price History tab lists every pricing change: the service, the kind of change, the old and new values, who made it, and when it took effect. Filter by service, change type, person or date, and use Export CSV to download the list.
Best practices
- Start simple: begin with Flat Rate prices and add other strategies when you need them.
- Use categories to keep the catalog easy to scan.
- Check modifiers on a test order before relying on automatic ones.
- Review the history now and then to see what changed.
