Settings & Communications

Find your business settings, turn listing comments on or off, and customize the emails your clients receive.

Finding Settings

Open Settings from the account menu at the top right. Settings is grouped into sections:

  • Account: User Details, Features, Notifications and HeadQuarters options
  • Business: Company, Branding, Calendar, CRM, Communications, Billing, Subscription, Public Profile and License Terms
  • Integrations: Integrations
  • Data: Import & Export
  • Developer: API Keys

Company details

Open Company to set your company logo, business name, email, phone, website, timezone, order number prefix and business address. Click Save Changes when you are done.

Billing and tax

Open Billing to connect Stripe for online payments and to set up sales tax. Under Tax Settings, switch on Collect sales tax and use Add State to add a tax rate for each state you collect in. There is one rate per state.

An order is taxed in its property's state. For work with no property address, choose a state under Orders without a property address, and those orders are taxed at that state's rate. With none chosen, a taxable order needs its property address before it can be created or confirmed.

Payment terms are not a setting: you write them on each invoice.

Communications

Open Communications to control how clients reach you and what your emails say.

Listing Comments

Switch Listing Comments on to let clients post comments and replies on their listings. When it is off, clients cannot post new comments or replies, and comments already posted stay visible. The switch saves as soon as you flip it.

Email templates

Customize the emails your clients receive at key moments:

  • Order Created: sent when a client books an order, or when an order is created for a client.
  • Order Status Update: sent when an order is confirmed or cancelled. Other status changes send nothing.
  • Listing Delivered: sent when you deliver a listing to the client.

Customizing a template

  1. Click an email to open it.
  2. Edit its fields:
    • Subject Line: the email subject
    • Greeting Text: appears after "Hi" and the client's name
    • Main Content: the body of the email
    • Closing Text: your sign-off
  3. Your changes save automatically as you type. There is no save button.

A field left blank is left out of the email; a blank subject sends the default subject. An email you have edited shows a Customized badge.

Placeholders

Placeholders are replaced with real values when the email is sent:

  • {clientName}: the client's name
  • {businessName}: your business name
  • {jobNumber}: the order number (Order Created and Order Status Update)
  • {propertyAddress}: the property address
  • {status}: the order's new status (Order Status Update only)
  • {listingUrl}: the property website link (Listing Delivered only, never in a subject)
  • {downloadUrl}: the download link (Listing Delivered only, never in a subject)

Use each placeholder only where it is supported. An unsupported placeholder is removed from a subject and from the Listing Delivered email, and shows as typed in the other two emails.

Reset to Default

Reset to Default sits in every open email. It stays disabled until you customize that email, and it asks you to confirm before the subject, greeting, main content and closing go back to the default text.

Tips

  • Keep it short: clients skim emails.
  • Test your templates: create a test order to see the real email.
  • Match your voice across all three emails.
